By accessing or using CliniqVoice, you agree to these Terms of Service, the Privacy Policy, and applicable
healthcare regulations. These terms apply to all voice intake, appointment scheduling, billing support,
and patient communication managed through our platform.
CliniqVoice provides a HIPAA-aware AI voice assistant for clinics, enabling appointment booking,
insurance verification, referral coordination, and secure patient outreach.
- Use the platform only for authorized clinic operations and patient support workflows.
- Do not use CliniqVoice for unlawful activities, medical diagnosis, or unauthorized data sharing.
- Maintain clinic policies for call handling, patient consent, and data security.
AI-assisted call processing supports intake, routing, and messaging, but it does not replace licensed
clinical judgment. All recommendations, triage outcomes, and escalation alerts should be reviewed by
authorized clinic staff.
CliniqVoice is designed to enhance administrative efficiency, not to provide medical advice or clinical
diagnosis.
Appointment scheduling and rescheduling requests are handled according to clinic availability, patient
preferences, and provider schedules. Confirmations, reminders, and cancellations are tracked for accuracy
and compliance.
- Confirmed appointments are subject to clinic availability and verification.
- Rescheduling requests are logged and routed to the appropriate care team.
- Appointment changes are documented for audit, patient communication, and appointment integrity.
Refill requests may be captured through the platform and delivered to clinic staff for review. CliniqVoice
does not authorize, dispense, or prescribe medication.
All prescription refill requests are subject to clinician review, pharmacy policy, and applicable
regulations.
CliniqVoice is not an emergency service. Patients presenting urgent or life-threatening symptoms should be
directed to contact emergency services or the clinic’s designated urgent care line immediately.
The platform may identify urgent symptom language and escalate it to clinic staff, but it does not provide
emergency medical care.
Patient data processed through CliniqVoice is treated as protected health information. Clinics are
responsible for maintaining HIPAA-aware workflows, obtaining patient consent, and safeguarding patient
communications.
- Voice recordings, transcripts, and clinical metadata are handled securely.
- Information is processed only to support care coordination, scheduling, and compliance.
- Patients may exercise rights such as access, correction, and deletion where permitted by law.
CliniqVoice supports insurance verification and billing inquiry workflows, but it does not guarantee
coverage or payment approval. Billing disputes and coverage determinations are governed by the clinic’s
financial policies and payer agreements.
Referral coordination and lab result notifications are handled through secure clinic workflows. Sensitive
clinical information should be reviewed by authorized providers before being shared with patients.
After-hours messages may be received by CliniqVoice and queued for clinic staff review. This service is
not a substitute for on-call coverage or emergency care.
Clinics should clearly communicate after-hours availability, expected response windows, and escalation
protocols to patients.
Authorized users must protect their credentials, keep clinic settings current, and ensure patient
communications are processed in compliance with HIPAA and internal policies.
- Maintain accurate provider, schedule, and insurance configuration data.
- Monitor AI escalations and urgent symptom alerts promptly.
- Limit access to authorized staff and review access logs regularly.
CliniqVoice aims for reliable service delivery, but availability may be affected by maintenance,
third-party outages, or network conditions. Clinics should maintain contingency workflows for intake and
appointment coordination during service disruptions.
